Notion workspaces for teams and agents

Your team and your AI,
working from the same context.

We design Notion workspaces where your people and AI agents share one source of truth, built one workflow at a time by a product and engineering team that runs its own company this way.

The problem

You have the tools. The work is still scattered.

Your notes live in one place, decisions in another, and requests arrive by email, chat, and hallway conversation. You've tried the AI features, and they help one person at a time, but the organization doesn't get any smarter. The issue isn't the tools. AI can only help with work it can see, and right now your work isn't in one place it can read.

How we work

Context first. Then workflows. Then agents.

01

Context

We map how your work actually happens and give every recurring thing (clients, projects, requests, decisions) one home in Notion, connected to everything related to it.

02

Collaboration

We build the forms, views, dashboards, and weekly routines your team will really use, so the system stays current without extra effort.

03

Agents

Once the workflow runs, we add AI agents that summarize, route, draft, and flag what needs attention, each with clear limits and a person who approves its work.

One workflow at a time. Solve it, make it run, then move to the next.

Offerings

Start with one workflow. Grow from there.

Launch

Starting at $2,500

2 to 3 weeks

One workflow, launched fast. For new Notion teams or a focused slice after a larger migration.

  • Kickoff and workflow discovery
  • Clean workspace foundation (structure, navigation, permissions, naming)
  • One core workflow built end to end, with starter templates and a team hub
  • One practical AI agent (for example: meeting notes to action items, or request triage)
  • Live training session, handoff documentation, and one week of support

Ongoing Support

Monthly

As your work changes

We keep your system and agents healthy as your work changes: tuning agents, adding workflows, and training new team members.

  • Agent tuning and review
  • New workflows as they come up
  • Training for new team members

Migrate

Scoped after inventory

Weeks to months, by volume and complexity

Consolidate Confluence, Coda, Slab, Monday.com, or Airtable into a Notion workspace that is easier to search and run than what you left.

  • API-backed inventory and complexity tiers
  • Migrate, archive, or self-serve decisions with owners
  • Notion structure designed before bulk move
  • Pilot across complexity tiers, then waves
  • AI pre-scan and post-import validation
  • Owner handoff, training, and source shutdown support

Migrations

We don’t import.
We rebuild what still earns its place.

Most migrations fail because teams treat them like a file transfer. We treat them like a systems project: measure what’s there, decide what deserves to move, redesign it for Notion, prove it on a pilot, then run the rest in waves — with AI scanning what importers can’t carry and validating what landed.

01

Inventory before opinions

We pull structure through the source APIs — docs, pages, tables, views, ownership, activity — and tier complexity so effort and risk are visible before anyone picks a start date.

02

Decide what moves

Every doc or board is tagged migrate, archive, or self-serve. AI proposes tags from size, activity, and naming; owners confirm in a short survey. Archiving stale hubs usually cuts more timeline than any importer trick.

03

Design the Notion shape

We map source docs into teamspaces, shared databases, and templates. Repeated small tables become one database with origin tracked as a property — searchable and maintainable instead of a one-to-one clone of the old mess.

04

Pilot, then scale

We migrate a small set end to end across complexity tiers. That produces a runbook, validated AI prompts for scan and cleanup, and a fixed plan for the full wave — before the big hubs are in flight.

05

Move with eyes open

Bulk transfer uses Notion’s importers where they exist. Before import, AI reviews what won’t come over cleanly — formulas, buttons, integrations, cross-doc links, automations. After import, we reconcile against the source and rebuild what didn’t carry.

The importer moves content. We own what breaks — and what shouldn’t have moved at all.

Talk about a migration

Examples

Workflows we build

Weekly status reporting

Leadership sees progress and risks on a live board instead of in a status meeting.

Meeting notes to decisions and action items

Decisions get recorded with the reasoning, and tasks land with an owner.

Request intake and triage

One front door for requests, routed to the right person and tracked to done.

Provider credentialing tracking

Licenses, enrollments, and Medicare paperwork with expiry dates, owners, and early renewal reminders.

Shift scheduling and event follow-up

Open shifts filled before service, private events tracked, and every guest request followed up.

Job quotes and client pipelines

Estimate requests, site visits, and follow-ups for construction, plumbing, and other trade work — all in one place.

Data and AI

Your data stays yours. Your agents follow rules.

Your workspace, your data.

We build inside your Notion workspace. We keep only our own methods and lessons, never your records.

Agents with limits.

Every agent gets written instructions, access to only what it needs, and a named point where a person approves its work.

Healthcare care.

For clinics and health organizations, we identify any sensitive data during discovery and design around it before anything is built.

Who we are

Built by a team that ships software

triwelltech is a product and engineering studio based in Olney, Maryland. We design and build AI-powered software for health, wellness, and faith-based organizations, and we run our own company on the same Notion method we bring to clients.

Ordeva

A clinical intelligence platform that turns scattered patient records into one readable timeline.

ordeva.org

Holy Health

A faith-based wellness app with AI meal and workout plans, community, and an Academy.

Peacemakers

A community app for churches, live on iOS and Android.

Questions

A few things people ask

Do we need to already use Notion?

No. We work with teams already on Notion and teams moving to it. If you're consolidating other tools, we start with the workflow that matters most — or with a full migration when the inventory calls for it.

Can you migrate from Confluence, Coda, Slab, Monday.com, or Airtable?

Yes. Those are the sources we see most often. We inventory through the source APIs, decide what to migrate vs archive, design the Notion structure first, pilot across complexity tiers, then move in waves — rebuilding formulas, automations, views, and integrations that importers can’t carry on their own.

What Notion plan do we need?

Workspace design works on any team plan. Notion's AI agents require a Business or Enterprise plan, and agent usage is billed by Notion based on how much they run. We estimate those costs with you before building anything.

How long does it take?

A single workflow typically takes 2 to 3 weeks. A connected foundation for a larger team typically takes 4 to 6 weeks. Migrations are scoped after inventory — from a few weeks to a few months depending on volume and complexity.

Who owns the workspace when you're done?

You do. Everything is built in your workspace, documented, and handed over with training.

Can you connect Notion to our other tools?

Yes. We're an engineering team, so when a workflow needs an integration or custom code, we build it.

Do you work outside healthcare, wellness, and faith-based organizations?

Yes. Those are our specialties, but the method works for any team with recurring work that's scattered today.
